Terms and conditions

Our Terms and Conditions outline the policies that guide our services and ensure a smooth, professional experience for every client. By securing your booking with us, you agree to the following terms, which cover booking procedures, payment schedules, cancellation policies, and additional service options. We’re committed to delivering exceptional service and creating memorable moments for your event. Please read through these terms carefully, and feel free to reach out with any questions.
 Bookings & Deposits
  • All bookings are confirmed only once a non-refundable deposit of 30% has been received.

  • The deposit secures your date, items, and services.
Payment

To reserve your booking, a non-refundable deposit of 30% of the total estimated cost is required. This deposit confirms your booking and secures your event date. All payments must reference your name or invoice number.

  • Events: The balance must be paid in full no later than 14 days (2 weeks) before the event date.

  • Rentals: The balance must be paid in full at least 3 days before the event date, unless otherwise agreed in writing.

  • Late payments may result in cancellation of services or rentals without refund.

  • All payments must be made via EFT or other approved methods.
⁠Cancellations & Refunds
  • Deposits are strictly non-refundable under any circumstances.

  • Cancellations made more than 60 days before the event will not incur further charges (deposit remains forfeited).

  • Cancellations made 30–60 days before the event will be charged 50% of the total balance.

  • Cancellations made less than 30 days before the event will be charged 100% of the total balance.

  • Postponements are considered on a case-by-case basis and subject to availability.
⁠Events (Planning, Styling & Coordination)
  • Moments by Thuli works exclusively with trusted suppliers; no external vendors will be accepted.

  • Clients must provide accurate event details when booking. Any changes may affect pricing and availability.

  • On-the-day coordination services ensure smooth execution, but Moments by Thuli is not responsible for delays or issues caused by third parties (venues, caterers, etc.).

  • The client acknowledges that final styling may vary slightly depending on availability of flowers, décor, or seasonal items.
Rentals (Furniture, Décor & Equipment)
  • Rental items remain the property of Moments by Thuli at all times.

  • First-time clients must use our delivery and collection service. Returning clients may be permitted to collect items at their own risk.

  • Clients are responsible for all rental items from the time of delivery/collection until they are returned.

  • A refundable security deposit may be required and will be returned within 7 working days after items are inspected.

  • Any items that are damaged, lost, or returned in poor condition will be charged at full repair or replacement cost, deducted from the deposit.

  • Items must be used as intended. Furniture may not be exposed to rain, fire, or conditions that can cause damage.
Delivery & Collection
  • Delivery fees are charged separately and depend on distance, order size, and event access (stairs, venues with limited entry, etc.).

  • Clients must ensure someone is present at the venue to receive and sign for items on delivery.

  • Collection will take place at the agreed time. Delays may incur additional fees.
Photography & Media
  • Moments by Thuli reserves the right to photograph and/or video record events, décor setups, and rentals for promotional purposes.

  • These images may be used across our website, social media, advertising, and marketing material.

  • Clients who wish to opt out must submit a written request at least 14 days before the event date
Damage and Liability

The client is liable for any damages, breakages, or shortages that occur to any rental items or décor during the event. All shortages, damages, or breakages will incur a full replacement cost as determined by Moments By Thuli, and no substitute items will be accepted as replacements.

Moments by Thuli will not be held liable for:

  • Delays caused by traffic, strikes, or circumstances beyond our control.
  • Loss, damage, or injury arising from improper use of rental items.
  • Any indirect or consequential loss suffered by the client.

⁠Force Majeure

Moments by Thuli shall not be liable for failure to provide services due to circumstances beyond our control, including but not limited to natural disasters, pandemics, strikes, power outages, or government restrictions.


In such cases, bookings may be postponed subject to availability, but refunds will not be issued.

Client Responsibility
  • Clients are responsible for providing correct event details (venue, date, access, timing).

  • The client must ensure the venue is accessible for delivery and safe for setup.

  • Any additional labour or equipment required due to venue restrictions will be charged separately.

Governing Law

These Terms & Conditions are governed by the laws of South Africa. Any disputes shall be resolved in accordance with South African law.
